How Flow SAAS works

Beetext Flow enables you to take a project from its very conception, the project request, through a customized workflow to the very final stages of the project by executing file delivery and invoicing. It is able to do all this while ensuring the project participants are kept in constant contact with the project manager by being notified of, "Work in progress", "Work to be done" and "Upcoming work" via email.

In addition to streamlining project communication, Beetext Flow helps Localization Service Providers or Corporate Translation Departments calculate the Profit / Loss margins per customer or per project, through a series of clear, easy-to-use reporting features found in every version of Flow.

Flow SaaS provides your customers with a user-friendly, secure portal to upload their documents no matter their size, request a quotation, provide request-specific information such as required languages, target delivery date, instructions and billing information. This portal can be integrated to your company website and reinforce your corporate identity - inquire about Beetext's custom branding services.

You can also continue receiving requests via email, and enter the requests through the slick project management dashboard; with Flow SaaS the choice is yours.

Project managers get access to an overview of all in progress requests, a flexible workflow builder tool to define workflow templates and assign best-qualified vendors to each step in the workflow, the ability to import SDL-Trados analysis files, a flexible quoting and invoicing tool, financial reports to measure your business performance and tools to identify inefficiencies in workflows as well as who is missing deadlines, who has a low throughput and where the bottlenecks are.

Vendors, on their end, access their task lists and download the documents to work on, and upload them back in Flow once completed. They can also create invoices based on the work you assigned them and based on the agreed upon rates.

Project managers get a real-time status overview of every single step in all workflows, what events took place, what vendors are supposed to do, and vendors get instructions how to do their tasks and who is working on other steps in the process. Further clarity is provided as vendors are able to view a task list of prioritised items awaiting their input, leading to faster response times and promoting better time management. Customers are notified once the workflow is completed. Then the job is sent to the invoicing module and made available in the reporting tools. When Flow is used, no job can be left behind, including invoicing. Everything is centralized, organized, and available at your fingertips.
