What to do?

 
General Information  

The following section summarizes, generally speaking, the steps to choose and acquire a solution from a corporate or governmental standpoint, and covers the complete purchasing cycle. If you are from the private sector, some steps may not apply, as larger organizations have more complex procedures to go through.

The first step in identifying what solution best fits your needs is to evaluate in what area you'd like to gain in efficiency. Beetext offers a complete suite, but each component can work as a standalone solution. Are you looking to improve your project management/workflow efficiency? Are you looking to get comprehensive reporting tools to measure your organization's activity? Are you looking to get your archives organized and easily accessible? Maybe you're looking for a way to share the terminology bases and glossaries throughout your organization? Maybe the answer is a mix of all this. The Products section available from the top menu provides a summary of the complete Beetext product offering and description. From there you'll be able to get all the details you need about the solution you feel would be beneficial. In the Products section you'll find:

Which version do I need?  

Once you've identified a solution and you have gone through the information provided in the product's section, you might want to figure our which version fits your organization's size and budget. Don't worry, we have cost effective solutions for all levels, ranging from the largest corporate or governmental departments to smaller LSPs and freelancers. If you are not sure which version would suit your needs, your Beetext sales manager will help you evaluate based on the number of users and desired options.

What about a live demo?  

At Beetext we understand a brochure or some screenshots sometimes aren't enough to make a decision. This is why we are glad to schedule live demos with our potential customers. Here's some points to remember before you schedule a demo with Beetext:

- Try to choose a date and time that will be convenient and as quiet as possible for you.

- Ask the key decision makers to participate in the demo. It will just accelerate the whole process. Decision makers often include IT and the Director of your department, but having some potential users to attend can help cover as many possible questions during the demo.

- During the demo, take some notes. It'll facilitate internal discussions after the demo, and some questions may arise afterwards. Send them to your Beetext Sales Manager.

About hosting  

At this point you might want to determine whether you'd like to host the solutions internally on your own servers, or let Beetext handle that for you. We offer several secure hosting packages to accomodate everyone, from basic to high-security, high-availability packages. Usually this is the main reason why it is a good idea to have a member of the IT department to attend the demo. Many corporate and governmental departments let us host the solutions for several reasons:

- Their IT department is already overloaded and at some point it just speeds up the process to rely on Beetext's hosting infrastructure

- Opening a port in the organization's firewall is simply not an option, as it could create a breach in their entire network security.

- Smaller organizations sometimes don't wish to maintain a server internally, especially with Beetext Flow which can easily replace a FTP server.

- Customer support and software maintenance is often much more simple and faster when our technical team have access to the application server and don't depend on another IT department to update your application.

What next?  

After the demo usually comes a proposal from Beetext based on the information collected during and little after the demo. Our pricing structure makes it easy to distribute the costs to different budgets.

Are we there yet?  

Almost. The legal department sometimes want to review our End User License and Services Agreement. It's a good idea to get this process started in advance to avoid unwanted delays.

Trial Versions  

If you qualify for a sandbox implementation, Beetext will set a test environment for you and provide necessary training to your key users and assist you through the test period. Our solutions are user-friendly and a quick training session will help you test the solution efficiently.

Once you have decided to go ahead, a dedicated Account Manager will assist with the implementation process, acting as a bridge between your team and our technical staff. Should you require customization, your Account Manager will help determine the best way to meet your expectations and get an estimate for you. Training can be done via a web conference or onsite.
